These Terms and Conditions govern your use of the Lifeversations website and your engagement with Lifeversations interview services provided by Thom Kokenge, operating as Lifeversations based in Wenatchee, Washington. By booking a service or using this website, you agree to these terms. Please read them carefully — they are written in plain language because we believe clarity matters.
1. Our Services
Lifeversations provides professional audio interview and media production services including personal legacy interviews, editing, and digital delivery for individuals, families, couples, and organizations. Specific deliverables are outlined in the package you select at the time of booking. All services are performed by Thom Kokenge or a representative of LifeVersations.
2. Booking and Payment
A booking is confirmed once payment has been received or a payment arrangement has been agreed upon in writing. Prices are as listed on the website at the time of booking. Lifeversations reserves the right to update pricing at any time — however any confirmed booking will be honored at the price agreed at the time of that booking.
3. Cancellation Policy
We understand that life happens. If you need to cancel or reschedule your interview, please notify us as soon as possible.
Full Refund A full refund will be issued if you cancel before any preparation work has begun on your interview. Because preparation timelines vary based on workflow and demand, please contact us as early as possible to determine whether work has commenced.
Rescheduling at No Charge You may reschedule your interview at no charge provided you give the following notice: — Local and online interviews within 50 road miles of our head office location at 1707 Madison St., Wenatchee, Washington: at least 24 hours notice — Interviews beyond 50 road miles of our head office location at 1707 Madison St., Wenatchee, Washington: at least 48 hours notice.
We understand that our clients often include elderly individuals with health considerations. We will always work with you in good faith within these timelines.
Late Cancellation and Rescheduling Fees If proper notice is not given the following fees apply: — Local and online interviews within 50 road miles of our head office location: $100 — Interviews beyond 50 road miles of our head office location: $300 plus any travel expenses already incurred
No-Show Policy If you are unavailable at the scheduled time and location without prior notice, a fee of 50% of your package price will be charged plus any travel expenses already incurred.
Travel Expenses If Thom Kokenge or a representative of LifeVersations has already traveled to your location at the time of cancellation or no-show, full travel expenses remain due regardless of any other fees or refunds.
LifeVersations Cancellation If LifeVersations needs to cancel your interview, we will provide as much notice as possible and offer to reschedule at a mutually convenient time. Any refund in this circumstance is at the discretion of LifeVersations based on the specific circumstances involved.
Our Right to End the Relationship LifeVersations reserves the right to cancel an interview or end a client relationship at any time and for any reason. Any refund in this circumstance will be determined at the sole discretion of LifeVersations.
4. Travel Policy
Interviews conducted within 50 road miles of our head office location at 1707 Madison St., Wenatchee, Washington as measured by Google Maps are included at no additional travel charge.
For all interviews beyond 50 road miles of our head office location at 1707 Madison St., Wenatchee, Washington as measured by Google Maps the following travel costs apply:
Mileage — $0.725 per mile round trip based on actual odometer readings from our head office location at 1707 Madison St., Wenatchee, Washington to the interview location
Overnight Accommodation — May be required for any interview location beyond 50 road miles and reimbursed at actual cost
Meals — flat per diem rate of $100.00 per day for each day of travel
All travel costs will be estimated and agreed upon in writing before any travel is booked. Actual travel costs will be invoiced after the interview is completed based on real expenses incurred. The final delivered product will not be released until all travel costs and package fees have been paid in full.
If a client books an interview without prior discussion of travel costs and their location is beyond 50 road miles of our head office location at 1707 Madison St., Wenatchee, Washington, LifeVersations will contact them promptly with a travel cost estimate before proceeding.
5. Rescheduling You may reschedule your interview at any time prior to the notice windows outlined in Section 3 at no charge. Simply contact us and we will find a new time that works for you.
6. Delivery Timeline Lifeversations will deliver your finished interview within 14 business days of the recorded interview date. If an unexpected delay occurs we will notify you promptly and provide a revised delivery date.
7. Revisions and Refund Policy
Each package includes one revision pass on the final delivered product. If you would like a specific section adjusted, we will accommodate that request as part of your included revision.
Lifeversations does not offer refunds on completed interviews. However we are committed to your satisfaction. If you are unhappy with your final product, please contact us directly and we will work with you in good faith to address your concerns within reasonable scope.
8. Ownership and Copyright
The interview subject owns the copyright of their personal story and all personal information they disclose during the interview. This copyright belongs to the person being interviewed, regardless of who commissioned or paid for the recording.
Lifeversations owns the interview recording as a professionally produced work product. As the producer, Lifeversations retains limited promotional rights to use portions of the recording — including short clips for the website, social media, and demonstrations of service quality. Lifeversations will always seek explicit written permission from the interview subject before any portion of the recording is used publicly.
The client who paid for the interview receives full personal use rights to all delivered files. The client may share the recording with family, friends, colleagues, and future generations for personal and non-commercial purposes. The client may not sell, license, or commercially distribute the recording without written consent from both the interview subject and Lifeversations.
Neither Lifeversations nor the client may sell the recordings to a third party without written consent from the interview subject.
A separate Interview Subject Consent Form will be provided in advance and signed by the interview subject on the day of the interview. That form governs the interview subject's specific rights and agreements regarding the recording.
9. Privacy and Data Retention
Lifeversations takes your privacy seriously. Your personal information and recorded content will be handled with care and respect.
Your recordings and associated files are retained by Lifeversations for archive and quality purposes.
Your personal contact information will never be sold or shared with third parties.
If you would like your recordings deleted from our archive at any time, please contact us in writing and we will honor that request within 60 days.
10. Your Comfort and Consent
Every Lifeversations interview is conducted with your comfort and consent as the first priority. You have the right to stop the recording at any time, decline any question, and request that any portion of the recording be removed before delivery. Sensitive topics may be raised in advance so you can choose whether to engage with them.
11. Limitation of Liability
Lifeversations will make every effort to deliver a professional, high-quality finished product. In the unlikely event of technical failure, equipment malfunction, or circumstances beyond our control that result in loss of recorded content, Lifeversations liability is limited to a refund of the amount paid for that service. We are not liable for indirect, incidental, or consequential damages.
12. Disputes and Mediation
In the event of a dispute arising from your engagement with Lifeversations, both parties agree to first attempt resolution through good faith discussion. If resolution cannot be reached directly, both parties agree to pursue mediation before initiating any legal action. Lifeversations is based in Wenatchee, Washington, and these terms are governed by the laws of the State of Washington.
13. Changes to These Terms
Lifeversations reserves the right to update these Terms and Conditions at any time. Changes will be posted on the website with an updated effective date. Continued use of our services after changes are posted constitutes acceptance of the updated terms. We will always aim to notify existing clients of any material changes.
